Everything you need to know about installing, using, and getting the most out of CustomsPro AI. Last updated: August 2026.

1. What CustomsPro AI Does

You upload an invoice. The AI reads it. It tells you the correct HTS code, the duty rate, and warns you about government regulations. Then you export everything to a file your client can use — formatted for direct import into CargoWise.

No internet needed after setup. All your invoice data, HTS classifications, and audit trail records stay encrypted on your computer.

2. Which Plan Do I Need?

Locked Features

If you see a button that is grayed out or shows a lock icon, that feature requires a higher plan. Click the locked button — a dialog will show you which plan you need and the price to upgrade.

3. How to Install

Download the Application

Download CustomsProAI.zip from the link provided in your purchase email or from our website. Save the file to your desktop or a folder you can easily find.

Extract the Zip File

Right-click CustomsProAI.zip and choose Extract All… (built into Windows). Pick a destination folder — for example, a new folder named CustomsProAI — and click Extract.

Run the Application

Open the extracted folder and double-click CustomsProAI.exe. Windows SmartScreen may show a warning because the application is not yet widely downloaded and our code-signing certificate is still in review. The notice is triggered by newness — not by anything found in the file. If you see it, it is two clicks: in your browser choose Keep (Chrome/Edge: ⋯ menu → Keep), then in Windows choose More infoRun anyway. You can verify the download with the SHA-256 published on our Security page or by submitting the file to VirusTotal and comparing the hash. We will never ask you to disable your antivirus.

Activate or Start the Trial

The License Manager window shows your Machine ID. There is no key to type — your license is bound to this machine at checkout. Click Upgrade, choose a plan, and complete payment in the browser; the app detects the payment and unlocks automatically.

If you do not have a license yet, click Continue Trial to access every feature free for 10 days.

4. How to Use — Step by Step

Add Documents

Click Add Document and select a file from your computer. You can also drag and drop files directly into the application window. To add an entire folder at once, click Add Folder.

Supported file types: PDF, JPG, PNG, XLSX, XLS, DOCX.

Start AI Parsing

Click Start AI Parsing. The software sends each document to Google's Gemini AI, which reads the content and extracts every product line item with descriptions, quantities, unit prices, and HTS code predictions.

Parsing takes approximately 10 to 30 seconds per file. Multiple files are processed in parallel (up to 5 at a time).

Review Results

When parsing completes, each invoice appears in the results table with its status. Click on any row to open the detailed view:

  • Left panel: A zoomable view of your original document. Use your mouse scroll wheel to zoom in and out. Click and drag to pan.
  • Right panel: Up to 3 possible 10-digit HTS codes with duty rates. The AI's top recommendation is shown first with a confidence percentage.
  • Bottom panel: PGA regulatory warnings (FDA, EPA, CPSC etc.) and Section 301 China tariff information.

Confirm the HTS Code

Review the AI's suggestions and click the radio button next to the correct 10-digit HTS code. Your selection is saved to the encrypted local database with a timestamped audit trail — recording exactly which code was selected and when.

The row status changes to Completed.

Export Results

Click CargoWise CSV Export at the top of the window. The software generates a 19-column CSV file formatted for direct import into CargoWise. The file includes:

  • Original file name for each line item (complete audit trail)
  • 10-digit HTS code (confirmed by the broker or AI auto-confirmed)
  • Product description, country of origin, quantity/UOM, total value, and currency
  • PGA regulatory flags, Section 301 exclusion eligibility, and AI confidence score
  • Timestamp of broker confirmation

Give this CSV file to your client or import it directly into your brokerage management system.

5. Features Explained

PGA Red Flag Alerts (Professional plan and above)

The software cross-references every HTS code against 12 U.S. government agencies (FDA, EPA, CPSC, APHIS, FSIS, FWS, FCC, NHTSA, DOT, TTB, ATF, DOS). If your item triggers a compliance requirement, you'll see a red warning.

HTS 9403.60.8081 triggers: "EPA: TSCA Title VI formaldehyde certification required. CPSC: Certificate of Compliance + eFiling mandatory as of July 2026."

Bulk AI Auto-Confirm (Professional plan and above)

Processed dozens of invoices? Click AI Auto-Confirm All. The software automatically confirms the AI's top HTS code recommendation for every completed item — saving you from clicking through each one individually.

Section 301 China Tariff Exclusion Analysis (Business plan and above)

Many Chinese-origin products face an additional 25% Section 301 tariff. However, the USTR periodically grants product-specific exclusions. CustomsPro AI checks each item against the current exclusion list.

Real-world impact: A $50,000 furniture shipment from China. If the software finds an active exclusion, your client saves $12,500 in Section 301 tariffs.

Zero-Touch Auto-Pilot (Folder Watch) (Business plan and above)

Turn on Auto-Pilot Mode (the "Auto-Pilot" tab) and the software watches a dedicated folder on your computer. Drop invoices in and they are parsed, audited, and filed automatically — no clicking required.

Duty Recovery Analysis (Business plan and above)

For every file Auto-Pilot flags, the software generates a Duty Recovery Analysis report showing the potential Section 301 duty your client may be overpaying. Each report lists the problem line item, the recommended HTS code, the applicable exclusion, the applied rate, and an estimated recovery amount that must be verified before you rely on it.

Master Consulting PDF Report (Business plan)

Click Consulting Report (PDF) to generate a professionally formatted PDF containing:

Send this PDF to your client. It proves your work, justifies your consulting fee, and serves as documentation for CBP audits.

Audit Defense Dashboard (Business plan)

Switch to the Audit Defense tab for a read-only CBP audit-trail dashboard covering your whole workspace. It shows every AI suggestion, the human confirmation, the verification score, and the timestamp, with a per-item audit log and a paginated view. Use it to keep a verifiable record of how each classification was reached.

Reasonable Care Report (PDF) (Business plan)

From the Audit Defense tab you can export a §1484 Reasonable Care Report as a PDF. It contains a methodology statement, an activity summary (broker-verified vs AI auto-confirmed vs unconfirmed), and an itemized confirmation log that flags every unreviewed line. Hand it to a client or retain it for CBP.

Agent Console (Business plan)

Autonomous classification agent for customs — explains every decision. The Agent Console does not free-chat. Ask a classification or sourcing question and it calls the app's own local tools — the HTS catalog, CBP CROSS rulings, Section 301 exclusions, broker-confirmed precedents, verification scores, and audit stats — then cites each source by ID (for example a ruling number or an HTS code). Any answer whose citation cannot be verified against the local database is rejected rather than guessed, and a classification question with no tool call is refused. Precedents are human-confirmed only; AI auto-confirmed (AI_AUTO) rows can never be cited as precedent.

Duty Simulator

The bottom-right panel includes a real-time duty calculator. Select a country of origin from the dropdown (China, Vietnam, Korea, Mexico, Canada, Japan, Germany, Other), enter the shipment value, and the simulator instantly calculates the total estimated duty including Section 301 surcharges and FTA relief.

6. Common Questions

A button is grayed out or shows a lock. Why?

That feature requires a higher subscription plan. Click the locked button to see which plan unlocks it, along with the upgrade price.

The AI picked the wrong HTS code. What do I do?

Simply click a different radio button from the 3 candidates shown. If none are correct, switch to the HTS DB Master tab to search the full 26,671-code USITC database manually by keyword or chapter number.

How do I undo a confirmation?

Select the row in the results table. Click Undo / Reset Confirmation. The row reverts to its pre-confirmation status. The audit trail entry is cleared.

Does the software work without internet?

Yes — partially. HTS code lookup (26,671 entries), duty calculation, PGA checks, and PDF report generation all work offline. You only need an internet connection for the AI-powered invoice parsing step (which sends documents to Google's Gemini API).

Why does Windows warn me about this download?

CustomsProAI is a newly released app, so Windows SmartScreen and your browser flag any file that has not yet built up download reputation, and our code-signing certificate is still in review. The notice is triggered by newness — not by anything found in the file. If you see it, it is two clicks: in your browser choose Keep (Chrome/Edge: ⋯ menu → Keep), then in Windows choose More infoRun anyway. You can verify the file yourself with the SHA-256 on our Security page. Once our code-signing certificate is issued, the publisher warning disappears; we also publish the SHA-256 of every download so you can verify it yourself.

How does activation work?

There is no key to type or paste. Your license is bound to this computer's Machine ID at checkout. Open the License Manager to see your current status; if it still shows trial mode after payment, contact support@customspro1ai.com.

How do I report a bug or suggest a feature?

Click the red Report button in the application. Type your feedback, then click Copy & Open Email. The software copies your message to your clipboard and opens your email program. Paste (Ctrl+V) and send.

I bought a new computer. How do I move my license?

A license is bound to one machine. Open the License Manager on the old computer and click Sign Out to release it, then install CustomsPro AI on the new computer and contact support@customspro1ai.com so we can bind your subscription to the new Machine ID.

How is my data protected?

All invoice data, HTS classifications, and audit trail records are stored in an AES-256 encrypted SQLite database on your computer. Documents uploaded for AI parsing are transmitted to Google's Gemini API over TLS 1.3, processed, and deleted from Google's servers after classification. We do not retain copies of your documents.

How do I update the HTS database?

Switch to the HTS DB Master tab and click Force USITC DB Update. The application downloads the latest tariff data from the USITC (United States International Trade Commission) and updates your local database. The update typically takes 30–60 seconds.

Important — Read Before Use

CustomsPro AI provides AI-assisted HTS code suggestions for reference only. Final classification and regulatory compliance are the sole responsibility of the licensed customs broker submitting the entry.

Pursuant to 19 U.S.C. § 1484, the importer of record must exercise reasonable care in making entry. AI-generated HTS code predictions do not replace professional judgment. Every classification must be reviewed and confirmed by a licensed broker before submission to U.S. Customs and Border Protection (CBP).
